Terms of Service

1. Acceptance of Terms

By accessing and using ExtractBill ("the Service"), provided by monivio s.r.o. (company ID: 57146110, registered at Tomášikova 22, 080 01 Prešov, Slovakia), you accept and agree to be bound by these Terms of Service. If you do not agree to these terms, please discontinue use of the Service immediately.

We may update these Terms from time to time. When we do, we will notify you via email. Your continued use of the Service after notification constitutes acceptance of the updated Terms.

2. Description of Service

ExtractBill provides an AI-powered document parsing service that extracts structured data from invoices, receipts, and bills. The Service uses a combination of proprietary algorithms and third-party AI models to process your documents and return structured JSON data.

The Service is provided "as-is" with no guarantee of 100% accuracy. While we strive for high-quality results, parsing accuracy depends on document quality, format, and legibility. You can submit a dispute for incorrectly parsed documents via our dispute resolution system.

3. Account Registration & Security

3.1 Account Creation

  • Email verification is required to activate your account.
  • One account per email address is permitted.
  • You must provide accurate and complete information when registering.
  • You are responsible for maintaining the confidentiality of your account credentials.

3.2 Account Suspension & Termination

We reserve the right to suspend or terminate accounts that violate these Terms, engage in fraudulent activity, abuse the Service, or pose a security risk. You may delete your account at any time via the Settings page.

4. Token Purchase & Usage

4.1 Pricing Model

  • ExtractBill operates on a pay-per-document model.
  • One token = one document parsed.
  • Token pricing is displayed on our Pricing page.
  • Tokens never expire.

4.2 Token Deduction

Tokens are deducted only after successful parsing of your document. If parsing fails due to a system error, no token will be deducted. If parsing is successful but the results are incorrect, you may submit a dispute to request a token refund.

Please review our Refund Policy for details on token refunds, dispute-based refunds, and exceptions.

5. Acceptable Use Policy

You agree NOT to:

  • Upload illegal content, malware, or documents containing harmful code.
  • Attempt to reverse-engineer, decompile, or extract the source code of the Service.
  • Abuse API rate limits or attempt to overwhelm the Service (DoS attacks).
  • Resell or redistribute the Service without explicit written permission from monivio s.r.o.
  • Use the Service for fraudulent purposes or to violate any applicable laws.
  • Share your API keys or account credentials with third parties.

Violation of this Acceptable Use Policy may result in immediate account suspension or termination without refund.

6. Intellectual Property

6.1 Platform Ownership

ExtractBill, its logo, design, and underlying technology are the intellectual property of monivio s.r.o. All rights are reserved.

6.2 Your Content

You retain all ownership rights to the documents you upload ("Your Content"). By uploading documents, you grant us a limited license to process and store them for the sole purpose of providing the Service.

6.3 Parsed Data

The structured data extracted from your documents belongs to you. We do not claim ownership of parsed data. However, we may use anonymized, aggregated data for analytics and service improvement purposes.

6.4 Third-Party AI Providers

The Service uses third-party AI models to process documents. By using ExtractBill, you acknowledge that your documents may be processed by external providers in accordance with their privacy policies.

7. Data Processing & Privacy

We take your privacy seriously and comply with EU GDPR regulations. For detailed information on how we collect, use, store, and protect your data, please review our Privacy Policy.

Key Points:

  • Documents are stored for 30 days after parsing, then automatically deleted.
  • You have the right to export your data or delete your account at any time.
  • We use encryption (HTTPS/TLS) to protect data in transit and at rest.

8. Webhooks & API

8.1 Webhook Security

If you configure webhooks, you are responsible for securing your webhook endpoint. We recommend using HTTPS and validating webhook payloads.

8.2 API Rate Limits

Our API has rate limits to ensure fair usage and platform stability. Exceeding rate limits may result in temporary throttling or suspension of API access.

8.3 API Token Security

You are responsible for keeping your API tokens secure. Treat them like passwords. If a token is compromised, revoke it immediately via the Settings page.

9. Limitation of Liability

9.1 No Warranty

The Service is provided "as-is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

9.2 No Guarantee of Accuracy

We do not guarantee 100% accuracy in parsing results. Parsing quality depends on document format, quality, and legibility. You should verify critical data manually.

9.3 Limitation of Damages

To the maximum extent permitted by law, monivio s.r.o. shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities, arising from your use of the Service.

Our maximum liability to you for any claim shall not exceed the total amount you paid to us in the 12 months preceding the claim.

9.4 Dispute Resolution

If you believe a parsing result is incorrect, you may submit a dispute via the Dashboard. We will review disputes within 24 hours. Approved disputes result in a token refund.

10. Dispute Resolution & Governing Law

10.1 Internal Dispute System

For technical disputes (e.g., incorrect parsing results), please use our internal dispute system via the Dashboard. We aim to resolve disputes within 24 hours.

10.2 Customer Support

For non-technical issues, contact us at support@extractbill.com. We strive to respond within 3 business days.

10.3 Governing Law & Jurisdiction

These Terms are governed by the laws of the European Union and the Slovak Republic. Any disputes arising from these Terms or your use of the Service shall be resolved exclusively by the competent courts in Prešov, Slovakia.

If you are a consumer residing in the EU, you may also have the right to bring proceedings in the courts of your country of residence.

11. Changes to These Terms

We may update these Terms from time to time to reflect changes in our Service, legal requirements, or business practices. When we make material changes, we will notify you via email at least 7 days in advance.

Your continued use of the Service after the effective date of updated Terms constitutes acceptance. If you do not agree to the updated Terms, please discontinue use of the Service.
